Set up a translation form, check-off list, or some type of standard operating procedure: A certain amount of information is needed for every project: languages, target countries, requested delivery date, type of deliverable, method of delivery, part number or numerical identifier, etc. A simple form with this basic information can serve as a reminder of all the information needed to initiate a translation project.

Send complete, well-organized electronic files for every project: Gather up all related files and send them together, including:

1)      The original source files for your document, in whatever program they were created in.

2)      a PDF file (made from the same source files), to be used for reference;

3)      all graphic image files;

4)      fonts;

5)      supporting files, such as Illustrator files for flowcharts or decals, or Excel files for embedded charts or tables;

6)      any reference documents which may help the translators.

Respond promptly to the translator’s questions:

Sometimes the project can’t go forward until the translator hears back from you. Get answers from those in the know, and send them along as quickly as possible. If you’ll be on vacation during an ongoing translation, be sure to appoint another person to take over this responsibility with your reliable partner.
